Our residents’ database

In order to enable PostNord Sverige AB (“PostNord”) to distribute mail, a database of data necessary for sorting and distributing mail and other mail items, including name, personal identification number, address and apartment number has been produced.

Where appropriate, data relating to mail forwarding, including telephone number, email address, new address and moving date, is also processed. In addition, information that does not typically relate to personal data but that may be necessary in the end phase of distribution, such as special circumstances in terms of geography or construction work, is processed.

Because a secure form of identification is crucial, the personal identification number is used for quality assurance in the distribution of forwarded mail. The personal identification number is provided when forwarding is requested. During the forwarding period, the system including the residents’ database may link the two relevant addresses.

Information for the residents’ database is obtained from public population registration databases and the notifications of a change of address received by Svensk Adressändring AB. Mail carriers can also change the information in the residents’ database themselves if they are informed that an individual(s) is (are) moving in or out. The data is used to distribute mail to these addresses.

PostNord always processes your personal data in accordance with the applicable legislation. We carry out this processing when necessary to comply with PostNord’s legal obligations or to meet the terms of an agreement with you.

Deletion of personal data in the residents’ database

The data in the residents’ database is kept as long as it is still relevant. Data on former addresses is deleted on a running basis, no later than 25 months after PostNord has received notification of a move.

Release of data to third parties

PostNord takes extensive steps to safeguard your personal data, including appropriate technical and organizational security measures to protect the data from unauthorized access, modification, dissemination or destruction.

PostNord’s confidentiality policy applies to shipment items under the Postal Services Act (SFS 2010:1045), but other information about PostNord’s customers is also treated as confidential.

Personal data in the residents’ database is not usually given to a third party (except for certain authorities) and is not sold for marketing purposes. However, addresses of certain types of buildings may be used for such purposes (“To the homeowner on Strandvägen 7”).

Further, PostNord may use external partners (suppliers) to execute tasks on behalf of PostNord, e.g. to provide IT services or help with analysis and statistics. The performance of these services may mean that PostNord’s partners, both within and external to the EU/EEA, obtain access to your personal data. Companies that process personal data on behalf of PostNord always sign an agreement with PostNord in order to also ensure a high level of protection for personal data about you held by our partners. In relation to partners outside the EU/EEA, special security measures are taken, including agreements that contain standardized model clauses for data transfer that have been adopted by the European Commission and are available on its website.

Your rights

You are entitled, in accordance with that which follows from the relevant personal data legislation, at any point to request access to the personal data processed about you, to have incorrect personal data deleted, to request that PostNord stop processing and delete your personal data, to limit the processing of your personal data, to exercise your right to data portability, and to object to the processing of your personal data. In such cases, please contact PostNord at the address stated below.

You are also entitled at any point to lodge a complaint with the appropriate supervisory authority if you consider that your personal data is being processed contrary to applicable personal data legislation.
