As a sender, you are subject to various different requirements depending on whether the item(s) you are shipping outside the EU (also applied to certain areas in countries within the EU) is/are a gift/gifts or for retail purposes, and whether you are shipping them as a private individual or as a business. Customs label

CN 22

CN 22 is a simplified customs declaration label. Affix the document to your item or place it in a plastic pouch which you then attach to the shipment. Read more in the document overview.

CN 23 is a simplified customs label. Affix the document to your item or place it in a plastic pouch which you then attach to the shipment. Read more in the document library.

CN23 – Simplified postal customs declaration (Customs declaration)

Single Administrative Document

The abbreviation SAD stands for Single Administrative Document. You must use the form when making a written customs declaration.

  • When you send a parcel or pallet internationally using PostNord, this document is not required as we, as an approved exporter, submit an electronic declaration to Swedish Customs on behalf of all our customers.
  • You may need this form when sending send mail internationally through PostNord to a non-EU country. It must be used if you opt not to submit import and export declarations electronically.
  • The form can be downloaded from the Swedish Customs website.

Freight Label

Via Pacsoft Online or other printing system

Freight labels that are printed via Pacsoft Online or another printing system are used when you send parcels, pallets, Priority+, Registered Mail or EMS International Express. Within the EU, the freight label is the only customs document required. For standard First Class Mail and Economy Mail, only address details are required for items sent within the EU. If you don't print freight labels for Registered Mail via a printing system, you must use a label that is available from PostNord's service points.

Pre-printed

Freight labels for International Parcel Post is available in pre-printed format and include a customs declaration. You will find freight labels at PostNord's service points or at Business Centers. Use these when you send a gift, goods sample or document. The freight label must be accompanied by a trade invoice if the value of the goods exceeds SEK 2,000.

Trade invoice – Document for goods intended for sale

The trade invoice is sufficient documentation to enable PostNord in its capacity as haulier to create an Export Declaration. The invoice must at least be in triplicate and written in English, usually signed by hand.

The following information must be shown:

  • items
  • statistical numbers
  • weight
  • value
  • quantity
  • country of origin
  • parcel ID
  • payment terms
  • name of contact person and telephone number

Proforma Invoice – Document for gifts, samples or documents

Use a proforma invoice instead of a trade invoice if the importer has not bought the good, i.e. if the good is not for sale. The invoice must at least be in triplicate and written in English, usually signed by hand.

The reason for using a proforma invoice must be stated. Applicable reasons may include Guarantee good, Export of goods to own office, Payment invoice to be sent later - the value of the goods must correspond to the payment invoice.

The invoice must contain the following text: No charge. Value for customs purposes only.

Shipment List – Document that specifies the identities of parcels in a shipment

The shipment list must be included with parcel no. 1 where a collective invoice is used. The list must contain information about which parcel numbers belong to the shipment and their respective delivery addresses.

Authorization for export using the DPD service to the USA, Serbia and Bosnia-Herzegovina

When exporting using our DPD service, it is the responsibility of the recipient to pay the import declaration, customs duty and VAT on deliveries to certain destinations.

Some recipient countries require an authorization, Power of Attorney, from the recipient as a guarantee that they are liable to pay fees such as import declaration charges, customs duty and initial VAT before the parcel can be delivered.

As the sender, you can ensure as fast a delivery as possible by asking the recipient to complete a Power of Attorney in advance.
